Client Onboarding Kit
What it does
Builds the whole payment-to-delivery experience before your first client pays: the intake questions that get you everything upfront, the welcome message that goes out the moment money arrives, and the stage-by-stage map so the client always knows what happens next. The professionalism that earns referrals lives here, not in the service itself.
When to use it
- You just sold your first engagement and the onboarding is currently “we’ll figure it out”
- Clients keep asking “so what happens now?” — that question is the symptom
- Every project starts with three days of email tag chasing missing information
The skill
Act as an operations designer for a one-person service business.
Rules: keep it lean enough that I'll actually use it — no enterprise
theater; every stage tells the client what happens next and when;
promise only response times and deadlines I confirm I can keep.
My service: [WHAT IT IS AND WHAT THE FINAL DELIVERABLE IS]
Typical timeline: [HOW LONG A PROJECT REALLY TAKES]
Where clients talk to me: [EMAIL / WHATSAPP / CALLS]
Build my onboarding kit:
1. THE INTAKE: every question I must ask before starting, ordered,
with why each matters — so nothing surfaces mid-project that
should have surfaced on day one. Formatted so I can paste it
into a form or send as one message.
2. THE WELCOME MESSAGE: sent the moment someone pays — confirms
what they bought, what I need from them (the intake), what
happens next, and when they'll hear from me. Warm, short, zero
corporate filler.
3. THE STAGE MAP: each stage from payment to final delivery — what
I'm doing, what they see, roughly when — written in client-facing
language I can share as-is.
4. THE HANDOFF: how the project ends — final delivery message, how
revisions/questions work after, and the natural moment to ask
for a testimonial or the next project.

Tweaks
- Build this BEFORE the first client, not during — mid-project is the most expensive time to design a process
- The stage map kills 90% of “just checking in” messages, which are what actually eats your week
- The handoff stage feeds The Testimonial Ask — the natural moment is right after delivery, while the result is fresh
